OneSource - Absence Policy Change Overview

As you are aware from our previous communications, we are introducing some changes to the way Absences in OneSource are managed. Alongside of this we will be introducing changes to the Sickness Absence policy, specifically the way we calculate sickness absence triggers that are used to initiate management intervention. 

We are moving from a calculation method called Bradford Factor Scores (see page 15 in Sickness Guidance for more information) to Calendar Day Calculations. 

The policy will be published in the summer, we will provide more information closer to the time alongside of training.   

What do we do today? 

When submitting a sickness absence on behalf of an employee, Managers are prompted with a score sent to them via email. This score is entered into the Document of Record for the absence.  If the score is 150 or higher, it triggers a formal absence review. 

What will we do after Go Live? 

When submitting a sickness absence on behalf of an employee, Managers are required to enter the start and end date of the absence (when known) and this will result in a total number of calendar days of sickness absence, that will be used as the trigger for management intervention. The new process will use the following triggers to indicate if management intervention is required, as per the policy: 

  • a combined total of 14 calendar days sickness absence in a rolling 12-month period (pro-rata part time based on FTE modified days), or; 
  • 3 separate occurrences of sickness absence in a rolling 12-month period 

 Change in a nutshell 

We are moving away from the Bradford Factor Score to a calculation of 14 total days off sick or 3 separate occurrences in a 12-month window.  The long-term sickness absence management procedure will continue to be triggered by an absence that lasts for a minimum of 4 weeks. 

 More information about this policy change will be posted throughout the year and how this links to the changes we are introducing as part of our OneSource Absence Management Project.  Questions regarding the Sickness Absence Policy should be directed to HR Ops as usual.
