09 September 2019 One System, One Login, One Source At Walsall Council, as part of the Walsall Proud Programme, we are embarking on a number of digital initiatives. One of these initiatives is the One Source Programme. Most people would agree that increasingly, all aspects of our lives are becoming digitised — not just in our personal lives but also in our workplace. Organisations are moving away from paper-based methods and clunky, outdated systems and are instead choosing to use streamlined online systems that offer greater flexibility and enable staff to do their jobs more efficiently and effectively. The One Source system will deliver a new state-of-the-art, single cloud-based system for the majority of our finance, procurement, HR and payroll activities. One Source will be implemented in a phased approach commencing autumn 2019 and rolling out as follows: • First phase: finance, procurement, and some HR activities including recruitment; learning and development; sickness management and personal and post changes. • Second phase: Annual Performance Conversation and health and safety activities. • Third phase: payroll One Source is more intuitive, flexible and secure than the many finance, procurement, payroll and HR systems currently in place. It will benefit council employees in a range of ways. One System, One Login, One Source: everything in one place with a single login — from your payslips and personal records to recruitment and financial tasks. Minimal paper forms: digitising most finance, HR, payroll and procurement processes will save you time and enhance our compliance and security. Empowering our staff: a user-friendly way to access a range of HR and payroll self-service activities such as updating your personal details, learning history and performance, as well as booking training and submitting expenses. One Source will save you time, enable our future, and drive customer-focused service delivery Programme progress We have completed the design phase of the project for finance, procurement, payroll and HR and are now moving to the next phase of training key users and testing the system end to end. What you need to do now In order to assist with the smooth transition of data from existing systems such as People Gateway and Oracle to the new One Source system we need to make sure all current data — personal, positional and budget — are up to date. You can help with this by ensuring that your personal details in People Gateway are up to date and accurate and, if you are a line manager, that all positions you are responsible for are correctly coded and aligned to the correct hierarchy and any positions no longer required are deleted from the system. We are also developing a suite of ‘how-to’ videos and guidance notes which will be easily accessed from the application once the system goes live.
